Role profile

Operational delivery of high level, officially contracted hospitality at major sporting and cultural events within the UK.  Working closely with the client to provide first class and memorable experiences to all our customers.

The main focus of the role is to plan and deliver assigned events both operationally and financially. To work with the venue client, manage sales, coordinate with suppliers, manage budgets and liaise with all attending customers. To be the key operational point of contact for venues, caterers and suppliers.

Job Specification

  • To be the key contact and provide day to day liaison with venues and caterers in order to set up, manage and deliver hospitality packages
  • Manage and liaise with all suppliers to ensure accurate ordering and within budget
  • Prepare event target budgets, working budgets and event reconciliation’s in liaison with the Finance team
  • To be accountable for all operational spend and ensure costs meet budgetary targets
  • Create, maintain and manage weekly sales reports and allocation reports to maximise profitability in liaison with the Event Sales Manager and venue
  • Be responsible for all ticket allocations and mark backs meeting all contractual deadlines and obligations
  • Working with the marketing team and venue create, design and deliver event documentation
  • Approve event factsheets, event documentation, event guides and any other literature relating to the event
  • Set up all events, facilities and packages within XMS management system (In house stock management programme) with continual package and stock management
  • Liaise and assist with customer requirements pre event, on-day and post event
  • Manage CRM case management, dealing with all customer complaints to an agreeable outcome
  • Create concise event table plans working closely with the venue and caterers
  • Research food trends and work with the caterer to create menu offerings to meet package requirements
  • Attend menu and wine tastings and meetings with the caterer supported by HOD and Hospitality Manager
  • Be responsible for and continually review innovation/product content for own events to include mapping customer journey, market trends, competitor analysis and client walk through
  • Create and manage a Critical Path Analysis (CPA) of all key elements and time sensitive deadlines for your assigned events
  • On-day event management to ensure the smooth delivery of the event
  • Be responsible for and compliant with all Compass health and safety policies

  • 3 years operational experience in an Event Manager role, preferably within hospitality.
